Every organization has business processes. Not all of them (and in some cases, none of them) are automated, though. If you carefully examined seemingly unconnected emails, spreadsheets, documents, instant message chats, entries in line-of-business (LOB) application logs, and so on, you’ll discover patterns. Some of them were planned while others emerged organically, but you’ll find that your organization has a specific way of doing thing like approving expenses, scheduling vacations, onboarding employees, determining what level of discount to offer to a particular customer, evaluating and scheduling design changes, resolving customer service cases, and so on.

Many of these things, when done manually, are slow. Many are prone to mistakes or missed steps. Many fail to be recorded for auditing purposes or proof of compliance. And if it’s manual, it’s probably not being measured, so you have no idea where the problems are popping up other than random complaints.

There’s a lot to be gained if we model those processes. Automate them. Manage them. Improve them.

At the very least: faster, cheaper, better, and with fewer errors

By simply automating a lot of activity, things get done faster and with greater consistency, and hence, with less expense. Anything done the same way more than five times is a good candidate for automation. The thing being automated could be a calculation, a notification, or asking a person to approve something and reminding them until they do so.

Some analysts have referred to processes like expense reporting and vacation requests as “hygiene processes,” meaning that they’re important, but not “strategic.” They’re not wrong. But all of those improvements to “hygiene” result in room to breathe, time to think, and opportunity to be a lot more strategic. Everything from the mundane to the monumental, well, matters.

Most commonly: an improvement of outcomes

At a certain point, it’s almost expected to wonder if, instead of focusing on automated reminders and task assignments, we look at customer cases and the roles, assets, and activity we need to solve their issues, and whether doing so resulted in a better social media reputation, maintenance contract renewals, or even increased sales volume.

That’s a clear example of transitioning from tactical to strategic processes. Measurement and auditing matter more, as does a desire to refine and improve processes based on what those metrics reveal.

It’s also when it becomes clear that an off-the-shelf platform focused on automating tasks and integrating data won’t be enough.


At the very best: a competitive edge

If your competition makes razor blades and you make razor blades, how do you gain an edge? You find a way to make yours better. Maybe cost less. Possibly package them more conveniently. Potentially offer them as a subscription. All of those things involve processes; production processes, marketing processes, distribution processes, and sales processes.

Off-the-shelf software itself won’t magically give you a competitive edge. By definition, when you use standard software, you’re doing the same things everyone else is doing.

You’re the source of any edge you’ve got. If you want to create automated, managed, well-understood processes with strategic value, you’re going to need to — at least in part — build them yourself.
